HubSpot Property Usage and Data Cleanup Audit
Find unused, duplicate and unreliable properties.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
Audit HubSpot properties. List of contact, company and deal properties with type, records filled, last updated, where used in reports or workflows, and created date: [PROPERTY_LIST]. Calculate fill rates (records filled divided by total records) and list properties below 10 percent, duplicates in meaning, properties unused in any workflow, list or report, free-text fields that should be dropdowns, and inconsistent dropdown values. Example: of 20,000 contacts, 'Preferred contact time' filled in 480 is 2.4 percent and used nowhere, so retire. Count properties by decision (retire, merge or keep) and show the effect on the number of properties, for example 220 reduced to 140. Safe sequence, never deleting a property before checking where it is used: export a copy of the values, list every workflow, list, report and form that uses it, update or remove those references, archive the property, and wait before permanent deletion [VERIFY what archiving does in my account]. Worked clean-up of a free-text Industry property: 41 spellings mapped to 18 values with a table of ten examples (IT, I.T. and information tech become Information technology), applied by import, with the 600 unmapped values reviewed by hand. Checks: counts per value before and after add to the same total, and no contact loses a value. Define who may create properties, a naming convention, and a training note for staff entering data. Return a table and a plan with effort.

Invented counts. Contacts 20,000. Property 'Preferred contact time': filled 480 = 2.4 percent, used in no workflow: retire after export. Property 'Industry': filled 15,200 = 76 percent, 41 different spellings in free text: convert to a dropdown with 18 values. Property 'Lead source detail': filled 9,000 = 45 percent, used in 2 reports: keep and fix on creation routes. Result after clean-up: properties reduced from 220 to 146 (a 33.6 percent reduction), all reports re-run, and the retired list kept for 90 days before permanent deletion.
