Outlook Signature, Disclaimer and Branding Consistency Audit
Check email signatures for accuracy and consistency.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Audit email signatures in my team. Sample signatures as plain text: [SIGNATURE_SAMPLES]. Our standard (name format, title, phone, links, legal line, image rules): [STANDARD]. Compare each signature with the standard field by field and list differences in a table. Check for outdated details, inconsistent names and titles, large images that bloat each message and are often blocked, missing alternative text, low contrast, links that do not work, personal quotes, different fonts, and legal or regulatory lines that may be required [VERIFY with legal or compliance]. Count the signatures that follow the standard and the share, with arithmetic. Provide the standard signature as a plain-text template with fields and a shorter version for replies. Key details should be text, not images, with phone numbers and links written out. Include a rollout plan with who changes what by when. Do not invent job titles or numbers; mark gaps [VERIFY]. Keep the corrected signature to five lines or fewer, and list the fields that each person must fill in themselves. Rank the differences by how visible they are to recipients, and say which can be fixed by the person alone and which need an administrator.
