Outlook Rules and Automation Audit
Check inbox rules for hidden risks and clutter.

Audit my Outlook rules. List of rules with conditions and actions: [RULES_LIST]. Folders they affect: [FOLDERS]. Problems I have noticed, such as missed emails or duplicates: [PROBLEMS]. Our policy on forwarding and automatic deletion: [POLICY]. Write each rule in plain language and test it against two sample emails (mine, or invented and labelled invented). Check for rules that delete or move mail to places I do not look, rules that forward to outside addresses (check against policy), conflicting rules or wrong order, rules that never trigger, and rules on subject words that catch too much; for example a rule moving messages with 'invoice' in the subject to Finance also catches personal invoices. Count the rules by risk level. Return a table with Rule, What it does, Risk, Evidence and Action, and a list to keep, change or remove. Do not recommend rules that forward or delete automatically without a clear reason and a policy check. Add a ten-minute monthly review and a weekly look at Junk and Deleted items to catch mail rules moved. Mark menu names [VERIFY].

Invented list of 8 rules. Rule 3: move messages with 'invoice' in the subject to Finance (also catches personal invoices). Rule 5: delete messages from an old newsletter sender (safe). Rule 6: forward all mail from one client to a personal address (policy risk). Rules that never ran: 2. Test: send two sample messages for rule 3, one genuine supplier invoice and one personal; the personal one is wrongly moved. Table of actions: narrow rule 3 to named senders, remove rule 6 and ask IT about approved forwarding, delete the 2 unused rules. Risk summary: 1 high, 2 medium, 5 low. Monthly review: 10 minutes.
