Invoice Numbering and Gap Check
Look for missing, duplicate or out-of-order invoice numbers.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
Check my invoice numbering. Paste the list of invoice numbers with dates and amounts, with customer names replaced by codes: [INVOICE_LIST]. Numbering rule I intended: [NUMBERING_RULE]. Systems that create invoices: [SYSTEMS]. Find gaps, duplicates, numbers out of date order and invoices with identical amounts on the same day. For each exception propose possible innocent explanations (voided draft, test, migration) and what evidence would confirm them. Do not accuse anyone; list questions for the person who runs billing. Return an exceptions table, a count of exceptions as a percentage of invoices with the arithmetic, a control to prevent recurrence such as locking numbers and logging voids, and a monthly check routine. Add a worked check: invoices 1041, 1042, 1044, 1044 and 1043 appear in that order. Number 1043 is out of order, 1044 appears twice and there is no gap if 1043 was simply entered late; ask whether 1044 was reissued. Compute the exception rate as 2 exceptions out of 5 invoices, which is 40 percent, and explain that a small sample rate is not meaningful. Add a control suggestion: numbers generated automatically by the system, voids kept with a reason and the original number, and a monthly sequence report reviewed by someone who does not issue invoices.
