Invoice Template Completeness Audit
Check that your invoice template carries the details customers and tax authorities expect, with a completeness checklist.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Audit my invoice template. Paste the invoice text with customer details removed: [INVOICE_TEXT]. Business type and country: [BUSINESS_TYPE_AND_COUNTRY]. Tax registration status as I understand it: [TAX_STATUS]. How invoices are sent: [DELIVERY_METHOD]. Check for a unique sequential number, issue date, supply date, seller and buyer identification, clear description of goods or services, quantities and unit prices, tax shown separately where relevant, payment terms, due date, bank or payment details, late payment wording and a contact for queries. Mark each item present, weak or missing, and explain why it matters in one line. Return a table with Item, Status, Risk and Fix, an improved template with placeholders, and a list of requirements for [JURISDICTION] that I must confirm with an accountant [VERIFY]. This is an organisation aid, not tax advice. Add a worked check on one invented invoice so the table is easy to fill. Invoice number 2026-0142 is unique and sequential, so present; issue date 3 March present; supply date missing, so weak; seller details include name and address but not a registration number, so weak if one is required for my situation; description reads Consulting, which is vague, so replace it with Workshop design, 6 hours on 1 and 2 March; quantity and unit price present at 6 hours and 90, giving 540; tax shown as one combined line, which may need separating; payment terms read Pay promptly, which is weak, so change to Due within 14 days, by 17 March; bank details present; late payment wording missing. Add arithmetic checks: quantity times unit price equals line total; the line totals add up to the subtotal; subtotal plus tax equals the total due. Provide the improved template with clear sections, and a short explanation of why vague wording invites payment delays. Add advice on storing invoices securely, keeping copies for the period my accountant tells me [VERIFY], and sending in a format the customer can open. Check accessibility of the invoice itself: readable text, sufficient contrast and a version that works with a screen reader. Suggest a quarterly review of the template and a log of changes with dates.
