Review expense claims. A sample of claims by employee code with dates, categories, amounts and approvers: [EXPENSE_SAMPLE]. Policy limits: [POLICY_LIMITS]. Check for round amounts, repeated amounts, claims just under approval limits, missing receipts, weekend claims, duplicates and claims approved by a subordinate. Present each as a question for the approver, not an accusation. Calculate the percentage of claims with a flag. Return a table and recommended controls. Most flagged items have innocent explanations. Add a worked sample: claims by code: 14 claims of exactly 50.00, four in the same week; three claims at 249 with an approval limit of 250; two claims with identical amount and date. Flag rate = 9 flagged of 40 claims equals 22.5 percent. These are questions to ask, for example whether a fixed daily allowance explains the round amounts. Recommend a monthly analysis and spot checks of receipts. Add a worked example with invented codes: ten claims by one code in the quarter, six at exactly 50, four on Saturdays, three approved by the same manager. Flag rate 6 of 10 equals 60 percent for round amounts. Present as questions: is there a fixed allowance? Are weekend events authorised? Recommend sampling receipts for flagged items and sharing the results with the person kindly and factually.
