Google Docs Template Library Review and Retirement Plan
Find duplicate and outdated templates.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Review the document templates our team keeps in Google Docs. List of templates with name, owner, last edited, number of copies made in the last year if known, location and notes: [TEMPLATE_LIST]. Our brand and writing standards: [STANDARDS]. Find duplicates and near-duplicates, templates with outdated facts (old addresses, names, prices, policies), templates that no longer follow the brand standard, templates with no instructions, and templates unused for a year. Count each type and show the share of the library. Return a table with Template, Last edited, Use, Problem, Decision (keep, update, merge or retire) and Owner, with the person to ask and the reason. Propose a standard for new templates: a title pattern, placeholders in square brackets, a short instruction block that is deleted when used, an owner and a review date. Plan the clean-up without surprises: announce, mark retiring templates as retired for 30 days, then move them to an archive folder, at about 10 minutes per template. Mark sharing and folder features [VERIFY].
