Business Process Documentation Audit: Can Someone Else Do This?
Check whether key tasks are written down well enough to hand over.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
Audit my documentation. A list of key tasks with where the instructions are, who knows them, and how often they happen: [TASK_LIST]. Two example procedures pasted: [EXAMPLE_PROCEDURES]. Rate each task for risk if the usual person is away (impact and frequency) and for documentation quality (exists, complete, current, tested by someone else). Make a table with Task, Risk, Documentation, Gap, and Action. Review the two examples for clear steps, expected results, tools and access, and common problems. Rewrite one in a standard format with a checklist, and suggest an approach to test procedures by having someone follow them. Create a priority list of five procedures to write. This audit supports my judgement rather than replacing it, and any new documents it proposes should stay short. Add a worked risk table with five tasks: invoicing (high impact, one person knows, documentation missing), opening checklist (medium, documented), supplier ordering (high, documentation partial), social posting (low), software backup (high, undocumented). Write the first six steps of one procedure in a standard format and show a test by having a colleague follow it.
