Gmail Group Email Etiquette and Google Groups Plan
Decide when to use a group address and how.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Plan group email for my team using Google Groups or shared addresses. Team and purposes: [TEAM_AND_PURPOSES]. Problems we have, such as reply-all storms or messages nobody owns: [PROBLEMS]. Who administers our Google accounts: [ADMIN]. Present a table of groups with Purpose, Members, Owner and Rules, recommending which addresses to create, who should be members, posting rules, who owns replies, and moderation. Write eight etiquette rules as short sentences that can be pasted into a welcome message, for example 'Reply to the sender only unless everyone needs the answer', with an introductory message. Show how the rules apply in two scenarios: a customer question arriving at the group, and a long discussion that should move to a meeting. Cover privacy: who can see the archive and the members list. Group settings are managed by an administrator, so list the questions to ask them [VERIFY]. Run a two-week trial and measure unanswered messages and complaints about noise.
