Zoom Breakout Room Design for Workshops and Classes
Plan groups, tasks and timing so breakout rooms work.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
Design breakout rooms for a Zoom session. Session goal: [GOAL]. Group size and who attends: [ATTENDEES]. Length of the whole session: [LENGTH]. Tasks suitable for small groups: [TASKS]. Co-hosts or helpers: [HELPERS]. Plan two rounds. Example: 24 attendees in rooms of 4 makes 6 rooms. For each round give the room size, how to assign people (random, pre-assigned or self-selected) and why, task instructions that are self-contained (people cannot ask the host a question in a room) and pasteable into chat and a slide, the time (for instance 6 minutes of instructions, 15 in rooms and 9 for report-back is 30, with the sum shown), one clear output per group, and how they report back. Roles in each group: facilitator, note-taker, reporter, timekeeper. Broadcast messages at the halfway point and one minute before closing. Explain how the host visits rooms without disrupting them, what to do if someone cannot join a room, and a plan for people with access needs, such as keeping them with a helper or assigning a caption-friendly room [VERIFY features]. Provide a one-page facilitator card and a pre-session test with two colleagues.

Invented plan: 24 attendees, rooms of 4 = 6 rooms. Round one: 6 minutes of instructions + 12 in rooms + 6 report-back (one sentence per room) = 24 minutes. Round two: 4 + 15 + 7 = 26 minutes. Total 50 minutes of a 60-minute session. Broadcast at minute 6 of the 12: 'Halfway: choose your reporter.' Instruction text for round one, to paste into the chat: 'In your room, take 12 minutes to list three risks to the project. Choose a reporter. Be ready to share one sentence.' Co-host check: visit each room once for about 30 seconds; if a room is silent after three minutes, ask whether they need a prompt. Close: rooms end with a 60-second warning.
