Plan a Zoom webinar. Topic and purpose: [TOPIC_AND_PURPOSE]. Audience and expected size: [AUDIENCE_AND_SIZE]. Date, time zone and length: [DATE_TIME_LENGTH]. Speakers and their segments: [SPEAKERS]. Features available on our licence (webinar, polls, Q&A, registration, recording, captions): [FEATURES]. People who can help on the day: [HELPERS]. Do not invent speakers, numbers or links. Run-of-show table with start time, minutes, segment, who speaks, slides or screen, and the feature used; minutes add up to the total (show the sum). Example 60-minute shape: 5 housekeeping and welcome, 15 talk one, 5 poll and discussion, 15 talk two, with the opening five minutes minute by minute (0:00 to 0:02 host welcomes and gives housekeeping on captions, recording and questions; 0:02 to 0:03 moderator explains the Q&A tool; 0:03 to 0:05 speaker one introduces the agenda and asks a first poll question). Assign roles: host, co-host or producer, Q&A moderator, technical support, accessibility lead. Write the opening script, housekeeping announcement (how to ask questions, captions, recording notice), transition lines, two poll questions with answer options, and the closing with next steps. Producer checklist: slides loaded, polls prepared, recording started after the consent notice, backup speaker numbers on hand. Rehearsal: a dry run at least two days ahead and a final technical check one hour before. Contingencies with a clear action and decider: a speaker loses connection, audio fails, a disruptive attendee, a platform outage. Accessibility: captions where available, slides shared in advance, and an alternative to typing questions. Privacy: tell attendees about recording and use of registration data [VERIFY rules]. Post-webinar actions within 24 hours. End with the single biggest risk and its backup. Label licence- or version-dependent features [VERIFY]; give tables plus checklists I can paste.

Invented 60-minute run-of-show: 5 (housekeeping and welcome) + 15 (talk one) + 5 (poll and discussion) + 15 (talk two) + 15 (live Q&A) + 5 (close and next steps) = 60 minutes. Poll 1: Which topic matters most to you? A) Cost B) Time C) Skills D) Support. Poll results are read aloud in 2 minutes; moderator collects the five best questions in advance. Roles for the sample: host opens and closes; producer controls slides and polls; moderator reads questions; technical support monitors chat for audio issues. Checks: one hour before, test audio and screen sharing with each speaker; ten minutes before, open the room and play a looped holding slide. Backup: if the host loses connection, the producer becomes host and announces a two-minute pause.
