Create a 30-minute structure: opening, the client's story, the goal and how it will be measured, constraints (budget, timing, people), decision process, and next steps. Write twelve questions that avoid yes or no, with follow-ups. Add a list of signals of a good fit and of a poor fit. Provide a script for discussing budget without pressure, and for ending the call with a clear action. Include a template for notes and a recap email under 150 words that confirms understanding and proposes next steps.

Add a short section on warning signs that appear in the first call and a polite way to decline a project that is not a fit without burning the relationship.

Add a section on preparation and follow-up. Preparation: read the client's website and recent public activity, write three hypotheses about their problem, and prepare two examples of similar work I can describe in 30 seconds each. During the call: take notes in the client's words, repeat back the goal, and say what I do not yet know. Follow-up: send the recap within 24 hours, include the next step and a date, and update my pipeline log with the stage and expected decision date. Add a list of questions about decision makers and timing that prevent surprises later, a script for when the client wants an immediate price, and a note on not committing to scope or fees during the first call unless I am ready.

Finally, add a post-call scoring sheet with six criteria, such as budget clarity, decision process and fit with my services, and a decision rule for sending a proposal, referring the client elsewhere, or declining.
