Accessible Event Planning Audit for a Small Organisation
Check an event plan for access before you publish it.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Audit my event plan for accessibility. The event details (date, venue, format, programme): [EVENT_DETAILS]. The venue's access information I have: [VENUE_ACCESS_INFO]. Registration process: [REGISTRATION_PROCESS]. Communications: [COMMUNICATIONS].
Check: venue access and travel information (step-free routes, toilets, parking, public transport, quiet space, seating); registration questions about access needs and how they are handled; communications formats; programme timing and breaks; speaker briefing; captioning or interpreters if needed; food and drink labelling in general terms; signage; emergency procedures for people with different needs; and feedback. Make a table with Area, Current plan, Gap, Fix, Deadline, and Owner. Provide a standard access statement of 100 words for the event page with a contact for requests, and an email to the venue asking for specific information.
Mark all venue facts as [VERIFY] and treat them as unconfirmed until the venue confirms in writing.
Add a sample access statement of about 90 words and a worked registration question ('Please tell us if there is anything we can do to make the event work for you; we will keep your answer confidential and use it only to plan access'), plus a note on setting a date after which requests may not be possible.
