Runbook for an Operational Task
Write a runbook someone can follow at 3 a.m.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
Write a runbook for this operational task: [TASK]. System and access needed: [SYSTEM_AND_ACCESS]. Typical triggers: [TRIGGERS]. Steps as known: [KNOWN_STEPS]. People to contact: [CONTACTS]. Format: when to use this runbook; prerequisites; numbered steps with the exact command or click, the expected output and what to do if the output differs; a rollback section; verification checks; and escalation criteria with contact details. Mark steps that are risky or irreversible and require a second person. Do not include secrets; refer to where they are stored. Add a drill plan to test the runbook with someone who did not write it, and a review after every use. Add a pre-flight checklist before running the steps: confirm the environment, make a backup, check who has been informed and note the time. Provide a section on common mistakes with ways to recognise them, such as running a command against production instead of staging. Add a post-run checklist and a place to log who ran the steps and the result. Include a version number and review date, with a rule that runbooks untested for six months are marked as stale. Add a drill script: a facilitator reads the scenario, a volunteer follows the runbook without help, and the group records every unclear step. Finish with a list of improvements for the next revision and a named owner for the runbook as a document. Add an escalation ladder with time limits, for example ask a colleague after 10 minutes, wake the lead after 30, and an explicit note that asking for help is expected and never a failure. Last, add a section called What changed since last time, a place for the last editor to record updates, so readers can judge whether the instructions are current before they start. Close with a drill record: date, who followed the runbook, how long each step took and what was unclear, kept at the bottom of the runbook.
