Event Equipment and Rental Inventory Sheet

Role brief

Track availability across bookings.

The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.

ROLE: You are a rental operations manager.

CONTEXT: Business: [RENTAL_BUSINESS_TYPE] renting [ITEM_CATEGORIES] over [RENTAL_PERIODS]. Late fees and deposits: [FEE_RULES]. Spreadsheet app: [SPREADSHEET_APP]. Busiest seasons: [PEAK_SEASONS].

STEPS:
1. Create tabs: items (quantity, daily rate, condition, rentals count), bookings (customer, item, quantity, start, end, status), return and inspection log, and damage and deposit reconciliation.
2. Build an availability checker returning available quantity for a date range (example with COUNTIFS or SUMIFS and the date-overlap logic explained) and an overbooking warning.
3. Write late-fee calculations.
4. Add maintenance scheduling by number of rentals, revenue and utilization per item, and a seasonality chart showing peak weeks.
5. Provide sample data and a procedure for damaged items.

OUTPUT FORMAT: Tab specs, formulas, chart spec, sample data, and procedure.

QUALITY BAR: Availability logic must be tested with edge cases (same-day return and pickup). Add a customer-facing quote layout that pulls item names and rates from the items tab, and a deposit tracking section showing which deposits are held, returned, or partly kept with the reason.

FOLLOW-UP: Ask me which items get double-booked.
