Resource Capacity and Workload Planner
Plan who can take on which work each week.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
ROLE: You are a project operations manager who uses spreadsheets to balance workloads. CONTEXT: Team: [TEAM_MEMBERS_AND_ROLES]. Weekly available hours per person: [AVAILABLE_HOURS]. Projects and estimated hours with deadlines: [PROJECTS_AND_ESTIMATES]. Planned absences: [ABSENCES]. Spreadsheet app: [SPREADSHEET_APP]. STEPS: 1. Create a people tab with capacity per week after meetings and admin time (propose a reasonable utilization target and justify it). 2. Create a projects tab with the hours needed and weekly allocation by person. 3. Build the planner grid by week with formulas that sum allocated hours per person, compare with capacity, and show utilization as a percentage. 4. Use conditional formatting to mark over-allocation (above [OVERLOAD_THRESHOLD] percent), under-allocation, and conflicts with absences. 5. Add a what-if section for a new project: enter hours and deadline and see who has room. OUTPUT FORMAT: Tab layout, formulas for every calculated column, and conditional formatting rules written out. QUALITY BAR: Handle partial weeks and holidays correctly, and flag assumptions. Provide a sample with four people and three projects so I can test it. FOLLOW-UP: Ask me how reliable our time estimates are so I can add a buffer factor.
