Track events, shifts and volunteers.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Design an Airtable base for events and volunteers. Events and roles: [EVENTS_AND_ROLES]. Volunteers or staff and their availability: [PEOPLE]. Shifts and numbers needed: [SHIFTS]. Communication needs: [COMMUNICATION]. Propose tables for Events, Shifts, People and Assignments with fields and links. Add formulas for shifts filled versus needed (filled divided by needed, as a percentage) and hours per person. Worked example: a 4-hour shift needing 6 people with 4 assigned is 66.7 percent filled; across an event with 40 needed and 31 signed up it is 77.5 percent. Provide a sign-up form that works on a phone, views for shifts with gaps sorted by date, volunteers without a shift, my shifts, a calendar, and a printable run sheet with times, locations, contacts and a check-in field. Say how to handle a last-minute cancellation by finding a replacement from people who said they were available. Write reminder messages for a week and a day before, a thank-you with hours, and a four-question feedback form. Treat availability and contact details as personal data: collect only what you need, restrict who sees it, and delete it after the retention period [VERIFY]. Reconcile planned and actual hours after the event.
