Mailchimp Event Invitation and Reminder Sequence
Plan invitations that fill the room without spam.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Plan emails for an event. Event details: [EVENT_DETAILS]. Audience segments: [SEGMENTS]. Registration method: [REGISTRATION]. Capacity: [CAPACITY]. Write the sequence with a schedule counted back from the event: invitation, a reminder one week before for those not registered, confirmation for registrants, a day-before reminder with practical information, and a thank-you with next steps. Write the invitation (about 90 words) and the day-before reminder (about 60 words) in full with placeholders for event name, date, time with time zone, place or link, price and a single registration button; outline the others, each under 120 words, with subject lines and preview text. The invitation says what the event is, who it is for, and accessibility information; the footer tells people how to request adjustments. Exclude those already registered from invitations with a tag or segment [VERIFY]. Add a waitlist message and a cancellation message, and a post-event survey invitation. Fill target: 80 places and an expected 25 percent registration rate from an invited list of 400 means 100 registrations, so plan a waitlist. Measures: registration rate (registrations divided by delivered), attendance rate (attended divided by registered) and feedback. Check links and calendar attachments before sending [VERIFY], and treat rates as assumptions to test.

Invented schedule for an event on the 20th. Invitation on the 1st to 400 people. If 25 percent register, that is 100 registrations for 80 places, so open a waitlist after place 80. Reminder to non-registrants on the 8th. Confirmation on registration. Practical information on the 19th. Thank-you on the 21st. Reminder text sample: 'Hello Sam, a reminder that Spring Open Evening is tomorrow at 18:00 (GMT) at the Town Hall, step-free entrance on the east side. Bring your confirmation email. Questions or access needs: reply to this message.' Waitlist message sent when registrations pass 80.
