Expense Report Review Checklist
Check a claim before approving it.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
Review an expense report. The report (line items with dates, amounts, descriptions, receipts attached or not): [EXPENSE_REPORT]. The policy: [POLICY_SUMMARY]. Employee role and trip purpose: [ROLE_AND_PURPOSE]. For each line check: receipt present and legible; date inside the trip; business purpose stated; amount within the limit; category correct; duplicate of another line; arithmetic correct; currency conversion documented; tax shown separately where relevant. Output format: 1. A table: Line | Issue | Severity (ok, query, reject) | Question for the employee | Suggested note. If the policy is silent on a line, mark it 'policy gap' rather than rejecting. 2. Totals claimed, approved, and queried, with the arithmetic. 3. A polite message of about 100 words asking for the missing information, using the exact wording for the most important issue. 4. Patterns that may suggest errors (round numbers, weekend charges, repeated vendors), described without accusing anyone. 5. A reviewer checklist and a record template. Base findings only on the report supplied. Every figure and conclusion here is an estimate derived solely from the inputs I supplied. Nothing here is accounting, tax, legal or investment advice. Before acting, ask a qualified accountant or financial adviser familiar with [JURISDICTION] to check the output.
