Create a library of email templates for Outlook. The repeated situations I handle: [SITUATIONS]. Who the recipients usually are: [RECIPIENTS]. My tone: [TONE]. Facts that are always the same (hours, prices, links, policies): [FIXED_FACTS].

For each situation write a subject line pattern, a body under 120 words with square-bracket fields for what changes (main answer first, then details, then next step), and a one-line note on when not to use it. Example: 'Request for information', subject 'Your enquiry - what we need to help', body of about 95 words beginning 'Hello [Name]...'. Include a safe version for sensitive situations that asks a question before giving information. Suggest a naming pattern so templates are easy to find.

Explain how to save these for reuse (templates, quick parts or saved drafts) and the trade-offs [VERIFY feature names in my version]. Review each template every six months, and always read each email before sending even if a template was used.

Fill in before use

Optional: type your details and the prompt above updates. Nothing is saved or sent.

Replace each bracketed placeholder with your own details, then paste into Any AI or another assistant.
