PARA Method Setup for Notes and Files
Organize by actionability: projects, areas, resources, archive.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
Help me set up the PARA method (Projects, Areas, Resources, Archive). My current notes and files: [CURRENT_SETUP]. Active projects: [PROJECTS]. Ongoing responsibilities: [AREAS]. Topics I collect: [RESOURCES]. Tool(s): [TOOLS]. Walk me through: 1. Definitions with examples: Project (a goal with an end date, like "Plan the Lisbon trip"), Area (an ongoing responsibility with a standard to maintain, like "Health" or "Finances"), Resource (a topic of interest, like "Photography"), Archive (inactive items). 2. A sorting exercise: take my lists and classify each item into P, A, R, or Archive, with a reason, and flag ambiguous items with a question to resolve. 3. The folder or database structure for my tool (a text tree), naming conventions, and how to handle items that belong to more than one category (choose by actionability; use links or tags for the others). 4. Migration plan: a two-hour first pass (create the structure, move only active material), then a gradual cleanup of the rest. 5. Routine: weekly (update project list), monthly (review areas and archive completed projects), quarterly (prune resources). 6. Common mistakes: too many projects without next actions, using resources as a dumping ground, deep folder nesting. Include a template for a project page (outcome, deadline, next actions, notes) and an area page (standard, review questions, related projects).
