Excel Filtered Totals, Hidden Rows and SUBTOTAL Mistakes Audit
Find totals that silently include or exclude rows.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Check my workbook for totals that may be wrong because of filters, hidden rows or manual hiding. Sheets with totals and the formulas used: [TOTAL_FORMULAS]. Whether users filter or hide rows: [USER_HABITS]. A few numbers that look wrong: [SUSPICIOUS_NUMBERS]. Explain how SUM, SUBTOTAL and AGGREGATE treat filtered and manually hidden rows [VERIFY function numbers], with a worked example: values 10, 20, 30, 40 with the second and third filtered out give SUM 100 but SUBTOTAL(109) 50 [VERIFY]. Identify which of my totals should respond to filters and which should not. Propose a test: filter a column, compare the total with a manual addition of the visible rows, then unfilter. Provide a table of formulas with Current, Problem, Better and Test. Add team rules: no manual row hiding for exclusions, use a status column instead, and label totals as filtered or full. Function availability and menu names differ by version and subscription; mark anything you cannot confirm [VERIFY]. Test each fix on a small sample before changing the real sheet.

Invented column of eight sales values: 10, 20, 30, 40, 50, 60, 70 and 80, which add to 360. A filter hides the rows with 20 and 30 and a user hides 50 by hand. SUM shows 360. A subtotal that ignores filtered rows shows 360 - 20 - 30 = 310. A subtotal that ignores filtered and manually hidden rows shows 310 - 50 = 260 [VERIFY function numbers]. Rule: label totals as 'filtered' or 'all', and avoid hiding rows by hand.
