Seasonality and Cash Flow Pattern Audit

Interview first Has example

Understand how the calendar drives cash and plan for troughs.

The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.

I want to understand how the calendar affects my cash, so interview me before you analyze anything. Ask these questions one at a time and wait for each answer: (1) what the business sells and who pays, (2) which months are busiest and slowest, (3) how long customers take to pay, (4) which big bills arrive at fixed times (rent, tax, insurance, annual subscriptions, inventory buys), (5) what the lowest cash balance was in the last year and when, and (6) what I do today when cash is tight.

Data I already have: [MONTHLY_CASH_DATA].

After the sixth answer, produce: a 12-month cash pattern table (inflows, outflows, closing balance, with a note on what drives each month); the three months of greatest risk and why; a list of levers I can pull for each risky month (invoice earlier, offer annual prepay discounts, delay purchases, negotiate terms, line of credit) with the effect and downside of each; and a simple early-warning rule, such as "if cash falls below X weeks of expenses, do Y". Label every estimate as an estimate and list the numbers you need me to confirm.

12-month pattern (fictional garden shop, thousands)
Month | Inflow | Outflow | Closing balance | Driver
Jan | 18 | 22 | 31 | slow season, rent
Mar | 40 | 38 | 29 | stock buying for spring
Jun | 70 | 45 | 74 | peak sales
Nov | 22 | 28 | 40 | annual insurance
Three riskiest months: Feb (31 at lowest), Mar (stock purchase before sales), Nov (insurance).
Levers: ask suppliers for 60-day terms in March; offer gift voucher presales in January; pay insurance monthly (extra cost estimated at 3%).
Early-warning rule: if the closing balance falls below 6 weeks of outflows (about 25), delay non-essential purchases and call the bank. Estimates; confirm all figures with your own data.

Illustrative only, made-up data. Your results will differ and must be reviewed.
